We encourage you to review the answers here first before contacting us by email or phone. This helps us support everyone efficiently and ensures you can access the information you need right away.

Registration

What is the registration procedure for the IMELCO Convention 2026?

Registration is through the national organization only. The registration process has two steps:

  • Step 1 – General Registration  – COOs receive a convention brochure, teaser video, and an Excel template from IMELCO HQ. They submit the completed template with participant names, arrival/departure details, and supplier visit preferences. Deadline was 4 December 2025.
  • Step 2 – Participant Details – At the end of February / early March 2026, each participant will receive a link to provide additional details such as food requirements, tour selection, and supplier presentation choices.
Are there costs if we need fewer rooms than listed in Step 1 of the registration process done in December?

In most cases, reducing the number of rooms may lead to charges. Please contact IMELCO HQ to confirm the conditions for your national member organization. We strongly request that any changes to the number of rooms be kept to an absolute minimum.

Hotel accomodation

Does the national member organization need to arrange the hotel?
No. IMELCO arranges the hotel stay for all registered delegates for the dates provided in Step 1 of the registration process. Rooms are booked automatically after registration.
 
Only if your national member organization is hosting its own event and requires significantly more rooms for early arrivals, a separate hotel arrangement is needed. In that case, please contact IMELCO HQ if you have not done so already.
Is the hotel cost (room and breakfast) covered by IMELCO?
The coverage of hotel costs was communicated during the General Assembly and varies by member country in terms of the number of rooms and nights covered. If anything is unclear, please contact IMELCO HQ.
Is it possible to arrive earlier or stay longer at the hotel?

Yes. IMELCO follows the dates provided in Step 1 of the  registration process. If extra nights are requested, IMELCO HQ will coordinate with the national member organization on how these additional costs will be covered, either paid by the organization or by the guests themselves. If more nights than the included stay are registered, IMELCO HQ will follow up directly.

Do I need a credit card?

Yes. At check-in, the hotel will request a credit card to cover any personal expenses not paid by IMELCO (e.g., minibar, spa, etc.).

Is it possible to book a room upgrade?

Yes, but upgrades are not covered by IMELCO. For any special requests, please contact IMELCO HQ.

Transportation / transfers

How is transportation organized in Budapest during the IMELCO Convention 2026?

IMELCO provides transportation for all official program elements. This includes Supplier visits, tours, and evening events.

Are airport transfers included?

No. IMELCO only arranges transport for official program events. Airport transfers must be organized individually.

Tours & accompanying persons

Are accompanying persons welcome?

Yes. Accompanying persons can attend if indicated in Step 1 of registration. They may join on 9 June the Budapest tours and the welcome dinner. On 10 June (Official Convention day), dedicated tours and activities are provide for accompanying persons and they are welcome during the gala dinner.

Are there special programs for accompanying persons?

Yes. Dedicated tours and activities are available for accompanying persons on 10 June (Official Convention day). Details will be published on this website when available.

In which language are the tours conducted?

More information about tour languages will be shared closer to the event.

When will more information about the tours be available?

Detailed tour information will be published on the website at the start of Step 2 of registration (end of February / early March 2026).

What language will the convention be in?

The convention program will mainly be in English. Interpretation on Convention Day can be arranged if at least 10 participants request the same language. Updates will be communicated when available.

Registration

How do I register for the IMELCO Convention 2026?

Registration is through your national member organization only. Upon invitation only.

Will I receive a confirmation of my registration?

At the end of February 2026 or the beginning of March 2026, you will receive a link asking you to provide additional details (selection of tours, food preferences,…) and reconfirm your participation. If you are unsure whether you are currently registered, we recommend contacting the representative of your local member organization.

Hotel accomodation

Do I need to arrange the hotel myself?

No. IMELCO makes the booking for the hotel stay for all registered delegates.

How and when can partner suppliers register?

As a preferred supplier of IMELCO, you can only register if you are also an official Convention Partner.

Registration for Convention Partner suppliers opens in January. At that time, IMELCO Key Accounts will receive the necessary information to register. They will provide the names of the participants.

I am not yet an official Convention Partner supplier, can I still join?

Yes, you can still apply for a package. We recommend contacting IMELCO HQ as soon as possible.

Who do partner suppliers contact for questions?

For any additional questions regarding the Convention, suppliers may contact IMELCO HQ via the contact form on this website or reach out to their usual IMELCO contact person.

I am not a preferred IMELCO Supplier but would like to attend the IMELCO Convention — is that possible?

No, the Convention is only open to suppliers with whom IMELCO currently has an agreement. In addition, participation is limited to preferred suppliers who are official Convention Partners.
